Ecolinc Sustainability Expo Stall-holder Information
How do I apply for a stall or to participate in the Ecolinc Sustainability Expo?
Please read the information below prior to completing the
Eligibility Criteria
- All stalls, demonstrations, workshops etc, must relate to the concept of sustainability.
- Farmers Market stall holder products must be environmentally friendly, designed, made or grown by the stallholder and any packaging that is used must be eco-friendly (ie. Recycled or recyclable).
- Food and drink vendors must use recycled packaging products including plates, cups, cutlery and bags.
- All stallholders and food vendors must have independent public liability insurance and provide Ecolinc with a copy of their current policy certificate.
- We actively encourage one-off garage sales and vintage stalls. It brings a great community vibe to the expo and shoppers love to scour these stalls for recycled bargains.
Location
The Expo is located in the Bacchus Marsh College grounds outside Ecolinc and the Leisure Centre, 17-23 Labilliere St, Bacchus Marsh. Stall holders and food vendors will be able to drop off their goods and parking is available in Labilliere St and other surrounding streets. No cars will be allowed to remain on site during the Expo.
Trading Time
Trading from 10 am - 3 pm.
Set Up Time
Set up is from 8.00am, all cars must be removed from the Expo site by 9.30am. Stallholders will not be allowed to bring vehicles back onto the Expo site until after 3pm.
Stall Fees
Stall-holder applications are booked online. The Expo committee will consider all applications received. The Expo committee have the right to refuse any stallholder application. Every effort will be made to ensure that there is little replication of products. A confirmation email and invoice will be sent once the committee have accepted an application, as well as a map of stall-holder allocations.
All stall fees must be paid by 15th March 2017. If payment is not received before this time you forfeit your booking and your place will be offered to another stallholder.
Stall-holders must bring their own tables and marquee (if required)
- 3m x 3m site $30.00 incl. GST
- 6m x 3m site $50.00 incl. GST
There is no charge for Community Groups/organisations who wish to display information or hand out information to patrons (provided they do not sell any products). Please seek approval from the Ecolinc Expo Site Manager before submitting an application.

Making Payment
Once you have received a booking confirmation and invoice, payment can be made either via cheque or direct deposit.
Public Liability Insurance
Stallholders MUST have their own insurance if they sell products. All stallholder applications must be accompanied by a copy of your public liability insurance certificate.
Finding my Stall
Our market day attendants will be available from 8.00am for help in finding the exact location of your stall. Attendants will be wearing hi-viz vests. Please be sure to have your stall site info ready so as to make the process as quick as possible. Please check with the attendant at the front gate before you drive in that there is space available to unload.
What equipment should I bring?
Chairs, display equipment, table covers & tent (with weights) if required.
Access to Power
There is very limited access to power. Please check with the Ecolinc Expo Site Manager prior to submitting your application if you require power. It is preferable that stall-holders and food vendors who require power, supply their own low noise generator. All electrical leads and equipment must be tagged & tested.
Rubbish & Waste
All rubbish, waste and packaging must be taken away with the stallholder. Bins provided do NOT cater for stallholder rubbish. The stall site must be left in the condition it was found.
Bad Weather Policy
The Expo is conducted in the open air, it is not a covered market and will operate in varying weather conditions including wet weather. It is the responsibility of the Stallholder to bring their own covers, weights to hold down equipment and other equipment for the purpose of protection in adverse weather conditions. The Expo will NOT be cancelled in the event of wet weather.
No credits or refunds are issued in the case of bad weather on the Expo Day. The Expo will trade in all weather conditions. Please do not apply for a stall unless you are prepared to take the risk on weather.
OHS
Exhibitors are responsible for providing a safe workplace for yourself, your employees and for other persons including customers/patrons and must comply with the Occupational Health & Safety Act 1985 and associated regulations.
First Aid
Throughout the event, First Aid staff will be in attendance. The First Aid station will be located at the Ecolinc office. In case of emergency, the Ecolinc office can be contacted on 53 67 0171.
